Who we are

Purralytics is colony-management software for rescues, shelters, TNR programmes and community caregivers, operated by Play the Planet LLC. This policy covers www.purralytics.org and the Purralytics application. Questions go to support@purralytics.org.

Plainly, first: we do not sell your data, we do not run third-party advertising, and we never share one organisation’s records with another.

Two kinds of data, and the difference matters

Purralytics holds your personal data (who you are, how you sign in) and your organisation’s operational records (the animal care data your team enters). They are treated differently, and the second kind belongs to your organisation rather than to us.

Your personal data

  • Account details — name, email address and the credentials you sign in with.
  • Your role — which organisation you belong to and what you are permitted to do in it.
  • Invitations — if you were invited, the email address used to invite you.
  • Messages you send us through the contact form.

Your organisation’s records

This is the data your team enters to do its work: organisation name, location and branding; animal and colony records; and care records such as feeding logs, dates, weights and the notes your volunteers write. Each record is tagged to the organisation that created it and to the user who entered it, so your team knows who recorded what.

This data is yours. We store and process it so that the software works for you. We do not mine it, sell it, or use it to build anything outside your organisation. It is visible only to members of your own organisation and to the small number of our staff who maintain the system.

Collected automatically

Our server logs IP addresses, browser type and requested pages. We run a self-hosted analytics tool that records page views, approximate city and country, device type and browser, and referring site. That analytics data stays on our own server and is not sent to Google or any advertising network. We set cookies to keep you signed in and remember preferences; we do not use advertising or cross-site tracking cookies.

Payments

Paid plans are processed by Stripe. Card numbers are entered directly with Stripe and never reach our servers or our database. We retain only what we need to manage your subscription — your plan tier, status, and Stripe’s own customer and subscription identifiers. Stripe’s handling of your payment information is governed by Stripe’s privacy policy.

How we use it

To provide the service: to authenticate you, scope your access to the right organisation, store and return your records, process subscriptions, send operational email, and respond to support requests. We use aggregate, non-identifying figures to understand how the product is used and what to fix next.

Who we share with

Only the providers required to run the service: our web host, Stripe for payments, and our outbound email provider. We will disclose information if legally compelled to. We never share your organisation’s records with another organisation, and we do not sell data to anyone.

How long we keep it, and getting it back

We keep your organisation’s records for as long as the account is active. You can ask for an export of your organisation’s data at any time, and you can ask us to delete it. If an organisation closes its account we will delete its records on request, and otherwise within a reasonable period after the account lapses. Deleting an organisation deletes its records; that is not reversible, so we will confirm with an administrator before doing it.

Your choices

You can update your account details and leave an organisation at any time. You may request a copy of your personal data, ask us to correct it, or ask us to delete your account. Write to support@purralytics.org. If you are covered by the GDPR, the UK GDPR, or a US state privacy law, we will honour those rights regardless of where you are.

Children

Purralytics is intended for adults working in animal rescue and care. We do not knowingly collect personal information from children under 13. Where a volunteer under 13 participates through an organisation, that organisation is responsible for obtaining any consent its own rules require.

Security

The service is served over HTTPS, passwords are stored hashed, access is scoped per organisation, and we keep the software patched. No system is perfectly secure. If a breach affects your personal data or your organisation’s records, we will tell you.

Changes

We will update the date at the top when this policy changes, and contact organisation administrators directly if a change materially affects how we handle their data.
